HVAC AI receptionist and 24/7 answering service
An HVAC AI receptionist answers the calls your office misses. LobbyStack transfers no-heat and no-AC emergencies to your on-call tech under rules you write, and books tune-ups and estimate visits into Google Calendar during the call. Starter costs $30 a month for 150 voice minutes. No plan has a setup fee.
No credit card required. Works with your existing business number.

What happens to each HVAC call
You decide what LobbyStack does with each kind of call. A typical setup for an HVAC business looks like this.
| When a caller has | LobbyStack | What happens |
|---|---|---|
| No heat below your temperature threshold | Transfers | Checks the indoor temperature and who lives in the home, then connects your on-call tech |
| No cooling in a heat wave | Transfers | Applies your rule on indoor temperature and who lives in the home to AC failures |
| Gas smell or CO alarm | Transfers | Treats it as urgent and connects your on-call tech right away |
| Thermostat or breaker question | Answers | Walks the caller through the checks you approve |
| Tune-up or maintenance visit | Books | Books into open maintenance slots and texts a confirmation if the caller agrees |
| System replacement quote | Books | Collects home size and system age, then books an estimate visit |
| Warranty or billing question | Takes a message | Saves the details for your office to call back |
| Caller speaks Spanish or another language | Answers | Switches to the caller's language and applies the same urgency rules |
What does an HVAC AI receptionist do during a heat wave?
Your phones go quiet in April, then ring nonstop the first hot week of June, when every AC in town fails at once. Tell your carrier to forward calls when your line is busy or nobody picks up, or forward all of them. LobbyStack answers whatever reaches its number. Plans set no limit on how many calls it answers at once, and those calls share one pool of minutes. It asks each caller for the system type, symptoms, and address, then books the next open slot or takes a message for your office.
- Answers the calls your forwarding rule sends: busy, unanswered, or all
- Plans set no limit on how many calls it answers at once
- Books the next open slot or leaves your office a message with the caller's details
How does it tell a no-heat emergency from a thermostat question?
You write the urgency rules in plain language, based on symptoms, indoor temperature, and who lives in the home. A caller with a dead furnace in January and an infant in the house gets your on-call tech. A caller whose thermostat is set to cool gets a quick answer from troubleshooting steps you approve, like checking the breaker or the filter. For a gas smell or a CO alarm, you write the safety steps, such as leaving the house and calling the gas utility's emergency line or 911. The receptionist can share them before it transfers. Place a test call to hear how it handles one. Transfers go to one number. If you haven't set a transfer number, the receptionist takes a message. If the transfer can't go through, it tells the caller and offers to take a message, and your team can get a "Live call transfer failed" alert. Once your tech's phone starts ringing, the receptionist leaves the call. If your tech doesn't pick up, the caller reaches that phone's voicemail, if it has one.
- Escalates on symptoms, indoor temperature, and who lives in the home
- Treats gas smells and CO alarms as urgent and transfers right away
- Offers to take a message if the transfer can't go through
Can it book replacement estimates before the lead goes cold?
Yes. A homeowner pricing a new system will wait a day for your callback. Two weeks into peak season, your callbacks run later than that, and they sign with someone else. LobbyStack asks for the home size, system age, and fuel type, then books the estimate visit from your opening hours while the caller is on the phone. Connect Google Calendar and it skips your busy times and adds the visit as an event. If the caller agrees, LobbyStack texts a confirmation and a reminder 24 hours before the visit, to US and Canadian numbers only. If you'd rather approve each visit, switch to request mode: the receptionist takes the caller's preferred time, and your team confirms it.
- Collects home size, system age, and fuel type
- Books estimate visits into Google Calendar while the caller is on the line
- Texts a confirmation and a 24-hour reminder when the caller agrees
How much does an HVAC AI receptionist cost?
Prices as of October 2026: Starter costs $30 a month for 150 voice minutes, and Pro costs $100 a month for 500. If your average call runs 3 minutes (our assumption), Starter covers about 50 calls and Pro about 165. Now take a busy July with 300 calls, also our assumption. That's 900 minutes. Pro costs $100 plus 400 extra minutes at $0.18, or $172. Starter costs $30 plus 750 extra minutes at $0.20, or $180. The two plans cost the same at 500 minutes, and Pro costs less above that. LobbyStack counts usage by the second, so a 90-second call uses 1.5 minutes. Billed annually, Starter costs $288 a year ($24 a month) and Pro $960 ($80 a month).
- No setup fee on any plan
- Calls under 10 seconds and calls the receptionist ends as spam don't count toward your minutes
- Owners and admins can set a monthly overage cap under Settings > Plan. There's none by default, and new calls get a busy signal once you reach it
Can it answer callers who speak Spanish or another language?
Yes. Each call opens in your default language: English, French, Spanish, Serbian, German, Brazilian Portuguese, Italian, or Dutch. If the caller asks to switch or speaks another language, the receptionist answers in that language. It runs on OpenAI GPT-Live, which handles 70+ languages, including Spanish and Serbian. LobbyStack sends confirmation and reminder texts in your default language. If you save a contact's language as Spanish or Serbian through the API, that contact gets them in that language. The pricing page lists no language add-on.
- Opens in your choice of 8 languages, then follows the caller's language
- 70+ languages on GPT-Live, including Spanish
- Your urgency rules and booking settings stay the same in every language
Does it work with ServiceTitan, Housecall Pro, or Jobber?
Not directly. LobbyStack has no integration with ServiceTitan, Housecall Pro, or Jobber, and Google Calendar is the only calendar it connects to. It sends signed webhooks for six events: call completed, appointment booked, appointment rescheduled, appointment cancelled, message taken, and contact created. It also has a REST API with scoped keys, and Zapier connects through the webhooks and the API. An MCP server lets Claude or ChatGPT read your calls and book appointments. If you already run your shop in Jobber or Housecall Pro, their built-in receptionists book jobs into that software. LobbyStack can't. Jobber Receptionist costs $29 a month for 30 conversations ($0.79 each after) on top of a Jobber plan. Housecall Pro sells CSR AI as a paid add-on with no published price. We checked both on October 9, 2026.
- Books into Google Calendar
- Sends call and booking data out through webhooks and the REST API
- Connects Zapier through webhooks and the API
What LobbyStack asks HVAC callers
You choose the questions. These are the ones HVAC businesses start with, and every answer lands in the call transcript.
- System type: furnace, heat pump, boiler, or central AC
- The system's approximate age and brand
- The indoor temperature right now
- Who lives in the home, including infants, elderly people, or medical needs
- The thermostat setting and breaker status
- The address and the best time for a visit

Set up LobbyStack in three steps
- Step 1
Forward your number
Keep the number your customers know. Forward every call, or only after-hours and overflow calls, to LobbyStack.
- Step 2
Write your rules
Describe in plain language what counts as an HVAC emergency, which jobs to book, and which prices callers can hear. Then add the one number that urgent calls transfer to.
- Step 3
Place a test call
Call your own line, try an emergency and a routine request, and adjust the rules before a customer calls.
AI and live HVAC answering services compared
A live answering service puts an operator on the line. LobbyStack answers with AI and hands calls to your team when your rules say so.
| Topic | LobbyStack | Live answering service |
|---|---|---|
| Calls at the same time | Plans don't limit how many it answers at once | Depends on how many operators are on shift |
| Booking | Books into Google Calendar during the call | Varies by service, often a message for you to return |
| Emergencies | Follows rules you write and transfers to your on-call number | Follows a script you provide |
| Call records | Transcript, recording, and summary for each call | Message notes, which vary by service |
| Pricing | Free plan, then $30 or $100 a month with included minutes | Usually billed per minute or per call |
| Calls that need a person | Transfers them to your team | An operator handles them |
Questions about HVAC AI receptionists
Can it answer only when my office is overwhelmed?
Yes, through your carrier's call forwarding. Forward calls when your line is busy or nobody answers to cover overflow, forward them after you close for after-hours, or forward every call. LobbyStack answers whatever reaches its number. You might forward overflow in peak season and every call at night.
How does it decide which no-heat or no-AC call is urgent?
You describe the rule in plain language, for example: no heat and the house is below 55°F, or an elderly person or infant lives there. LobbyStack asks the questions it needs to apply your rule and transfers matching calls to your on-call tech.
What happens if my on-call tech doesn't pick up?
Transfers are blind: the receptionist hands the call to your on-call number without briefing your tech, then leaves the line. If your tech doesn't pick up, the caller reaches that phone's voicemail, if it has one. If the transfer can't go through, the receptionist tells the caller and offers to take a message, which reaches your inbox with an email alert. Your team can also get a "Live call transfer failed" alert. If your plan can't cover another transfer attempt, the receptionist takes a message instead.
What system details can it collect?
Whatever your techs ask for: system type, brand, approximate age, fuel type, thermostat reading, and the symptoms the caller describes. LobbyStack saves the answers in the call's transcript and recording. When the receptionist takes a message, your inbox gets it with the caller's name, callback number, and urgency. The Google Calendar event shows only the service and the caller's name.
Can it quote a tune-up or diagnostic fee?
Yes, if you give it the numbers. LobbyStack can state an exact price, a starting price, or a range. For full system replacements, it books an estimate visit instead.
Does it work with my existing business number?
Yes. Set your carrier to forward your current number to LobbyStack, either every call or only overflow and after-hours calls. To port the number instead, contact the LobbyStack team. You can replace your LobbyStack number once from Settings > Phone number.
Should I use an AI receptionist or a live answering service?
People handle unusual calls better. At MAP Communications, a live answering service, agents follow the on-call roster you send and can schedule appointments. Its Pay As You Go plan costs $49 a month plus $1.37 a minute (checked October 9, 2026). LobbyStack's extra minutes cost $0.20 on Starter and $0.18 on Pro. It transfers to one number, though. Choose a live service if you want a person on every call or a rotating on-call list.
Is an AI receptionist worth it for an HVAC company?
It's worth testing if peak season or nights send callers to voicemail. Enter your missed calls per week and average job value in LobbyStack's missed-call revenue calculator to estimate the revenue at risk. Then try the receptionist on the Free plan before you forward a line.
Can I try it before I forward my line?
Yes. The Free plan gives you 30 voice minutes a month and a US or Canadian number free for 14 days, with no credit card. During those 14 days, the number answers real calls, and transfers go only to the mobile number you verified. Choose Starter or Pro to keep the number.
