---

The best property management answering service in October 2026 depends on where your work orders live. PATLive and Continental Message Solution use live agents and name AppFolio, Yardi, Buildium or Rent Manager. Buildium, AppFolio and Rent Manager offer their own maintenance lines. Specialty Answering Service, MAP and Ambs charge the lowest per-minute rates of the live services here.

LobbyStack publishes this list and sells an AI receptionist, so you'll find it in the AI section with its limits spelled out. It doesn't connect to AppFolio, Buildium, Yardi or Rent Manager.

**Prices checked October 9 and 10, 2026.** We read every price on the vendor's own site, in US dollars before tax. For other industries, see [what an answering service costs](/blog/how-much-does-an-answering-service-cost/).

## What's the best property management answering service for your portfolio?

Pick by three things: who should take a 2 a.m. leak call, where the work order has to land, and whether you'd rather pay per minute, per call or per unit.

- **PATLive, best for software sync with live agents:** its property management page names Yardi and AppFolio, shows Rent Manager, Propertyware and Buildium logos, and routes owners and tenants to different lines. From $49 a month plus $2.99 a minute.
- **Specialty Answering Service, best per-second billing:** $44 a month plus $1.54 a minute, and agents reach on-call staff by phone, text, pager or email.
- **MAP Communications, best for emergencies that need a confirmed handoff:** its emergency line keeps escalating until your on-call person confirms the message. Extra minutes cost $1.28 to $1.37.
- **Ambs Call Center, best low overage:** $149 for 100 minutes, then $1.20 to $1.29 a minute, with your on-call schedule kept in its portal.
- **Continental Message Solution, best for Rent Manager users who want live agents:** Rent Manager lists it as an integration partner. Plans run per 28 days from $50.
- **Buildium Maintenance Contact Center, best for Buildium users:** $0.70 or $1.10 per unit a month, with a $140 monthly minimum and $300 setup.
- **Smith.ai, best AI with live receptionists behind it:** 25 free AI calls a month, and its property management page names AppFolio, Buildium and Yardi.
- **LobbyStack (ours), best low-cost AI for Google Calendar showings and callers in many languages:** $30 a month for 150 minutes with no setup fee, and no property management software sync.

## How do property management answering services compare?

The table covers six live services, the maintenance lines offered by Buildium, AppFolio and Rent Manager, and four AI services. They bill per minute, per call, per unit, per unique caller or per 28 days, so the last two columns price each one at the same portfolio.

**Assumptions:** a 200-unit portfolio with 60 after-hours calls a month, and a 500-unit portfolio with 150. Each call lasts 3 minutes (our assumption, not vendor data), every caller is unique, and each cell uses the cheapest plan, or plan plus overage, that covers the volume. US dollars before tax, prices as of October 9 and 10, 2026.

## The best live answering services for property managers

These six put people on tenant calls at any hour. Each one says it separates emergencies from routine requests using rules you write.

### PATLive: best for software sync with live agents

PATLive's [property management page](https://www.patlive.com/industries/property-management) says agents use "your customized triage rules" to find true emergencies and dispatch your on-call technicians. They either dispatch through your property management software or forward the details to your on-call team. The page names Yardi and AppFolio and shows Rent Manager, Propertyware and Buildium logos. Its FAQ says PATLive can "route by caller type so owners reach you and tenants get the maintenance line."

The [pricing page](https://www.patlive.com/pricing/) lists 11 tiers, from $49 a month plus $2.99 a minute up to 5,000 minutes. PATLive bills the first minute in full, then 6-second steps, and doesn't bill after-call notes. Nights and holidays cost the listed price, there's a 14-day trial, and there's no contract. Spanish costs nothing extra from 8am to 10pm ET.

### MAP Communications: best for emergencies that need a confirmed handoff

MAP's [property management page](https://www.mapcommunications.com/industries/property-management/) says urgent matters go to your on-call maintenance team, and its emergency hotline keeps escalating until your on-call person confirms they got the message. You define what counts as an emergency; the page gives lockouts, water leaks and security issues as examples. Agents also answer prospects' application questions and tenants' rent-payment questions. The page names no property management software and says MAP will work toward a solution if yours isn't connected.

Plans run from $49 a month plus $1.37 a minute to $649 for 500 minutes, with overage falling to $1.28 ([pricing page](https://www.mapcommunications.com/pricing/)). Every plan includes English and Spanish. MAP's [terms](https://www.mapcommunications.com/terms/) (March 2026) round calls up to whole minutes, count after-call work, add a $0.024 telecom fee per call and charge a holiday fee on seven holidays without stating the amount.

### Specialty Answering Service: best per-second billing

Specialty Answering Service (SAS) bills by the second, from $44 a month plus $1.54 a minute, with $0 setup and no contract ([pricing page](https://www.specialtyansweringservice.net/pricing/)). The trial runs 14 days or 200 minutes with no card. Its [property management page](https://www.specialtyansweringservice.net/industries/real-estate/property-management-answering-service/) says agents screen calls "for emergency and non-emergency response" under your protocols, reach on-call staff by phone, text, pager or email, and take on-call schedule changes. The page names no property management software. Patching a caller through to you costs $0.10 a minute.

### Ambs Call Center: best low overage with an on-call portal

Ambs's [property management page](https://www.ambscallcenter.com/property-management-answering-service) says "a flood or a lockout goes straight to your on-call staff, while a routine HVAC request waits its turn." You change the on-call schedule yourself in the myAmbs portal. Agents also qualify leasing prospects and book showings. The page names LeadSimple, PropertyBase and Salesforce, plus Zapier, but not AppFolio, Buildium, Yardi or Rent Manager.

Plans start at $149 for 100 minutes with $1.29 overage and drop to $1.20 a minute on the 2,500-minute plan ([pricing page](https://www.ambscallcenter.com/answering-service-pricing)). Ambs bills in 30-second steps, includes English and Spanish, and charges no holiday fees. It also charges $85 for setup and counts solicitor calls and hang-ups against your minutes. Its terms mention a minimum contract period without stating the length, so ask.

### Continental Message Solution: best for Rent Manager users who want live agents

Rent Manager's [integrations directory](https://www.rentmanager.com/integrations/continental-message-solution/) lists Continental Message Solution (CMS). That listing says "tenant information is pulled automatically" and "maintenance tickets are created in real time," with true emergencies dispatched to your on-call maintenance staff. CMS's own [property management article](https://www.continentalmessage.com/blog/best-property-management-answering-services/) (updated August 21, 2026) says its agents work inside Yardi, AppFolio or Buildium.

CMS bills every 28 days: $50 with no included minutes, $150 for 100, $300 for 250 and $575 for 500 ([pricing page](https://www.continentalmessage.com/pricing/)). It publishes no per-minute rate or setup fee; both come with a quote. Thirteen bills a year turn $300 per 28 days into $3,900 a year, or $325 a month on average.

### Smith.ai Virtual Front Desk: best for live intake priced per call

Smith.ai's [property management page](https://smith.ai/industries/property-management-answering-service) separates true emergencies ("gas leaks, flooding, no heat") from same-day needs and routes urgent calls to your on-call maintenance staff. Receptionists "don't make maintenance authorization decisions." Smith.ai logs calls from existing tenants to the tenant's record and creates a lead record for new prospects. The page names AppFolio, Buildium and Yardi and says "integration occurs via APIs or custom workflows built with Zapier, Make, or N8N," without saying which platforms connect directly.

The human [Virtual Front Desk](https://smith.ai/pricing/receptionists) costs $300 for 30 calls, then $11.50 a call, with no setup fee. A long burst-pipe call costs the same as a short one. Booking, complex routing and a dedicated Spanish line are per-call add-ons ($1.50, $1.50 and $1.00). Starter includes one transfer destination, and each extra one costs $15 a month.

## Does your property management software have its own answering service?

Buildium, AppFolio and Rent Manager each offer one, and a 2022 Yardi page describes one for Breeze Premier. These lines work inside your software, but only Buildium publishes a price.

### Buildium Maintenance Contact Center

Buildium's [Maintenance Contact Center](https://www.buildium.com/maintenance-contact-center/) costs $1.10 per unit a month to answer every maintenance call, or $0.70 to answer missed calls during office hours and every call after hours. Both cover holidays, with a $140 monthly minimum and a one-time $300 setup fee. "Professional call center agents" decide whether each call is an emergency, and the service is "all connected directly to your Buildium account." The page doesn't say how agents reach your on-call staff, which languages they speak, or the contract terms.

### AppFolio Smart Maintenance Contact Center

AppFolio's [Smart Maintenance Contact Center](https://www.appfolio.com/blog/smart-maintenance) (blog post, November 10, 2025) uses AI to answer residents 24/7 by text, phone or the resident portal, judges whether a request is an emergency, and contacts the vendors you set as preferred. AppFolio's [maintenance page](https://appfolio.com/features/maintenance) says its Maintenance Performer can "prioritize emergencies" and dispatch from the Lula Vendor Network. AppFolio's [pricing page](https://www.appfolio.com/pricing) quotes on request, and the Core plan has a 50-unit minimum.

### Rent Manager Call Center

Rent Manager's [Call Center](https://www.rentmanager.com/247-call-support-made-easy-with-rent-manager-call-center/), run by Anequim, says "Every call your tenants make is answered by a live, fully trained agent." Agents handle emergencies, maintenance requests, leasing calls and dispatching. They create service issues in Rent Manager and log the conversation in History/Notes. Pricing goes through Rent Manager's sales team.

### Yardi RentCafe Connect

Yardi Breeze Premier's [RentCafe Connect](https://www.yardibreeze.com/blog/2022/04/rentcafe-connect-all-hours-maintenance-call-center/) connects residents to live agents through a call tree you set up, and lets you put emergency calls first. That page dates from April 2022, says setup is free and that you pay only for calls handled, and gives no rate. We found no current price.

## Is there an AI answering service for property management?

Yes. AppFolio's contact center above runs on AI. Smith.ai, Goodcall, Rosie and LobbyStack answer tenant calls, book showings or text booking links, and send urgent calls or alerts to your team. At the call volumes above, they cost less than the live services. Before you sign, test who gets the 2 a.m. leak call and what happens if that person doesn't pick up.

### Smith.ai AI Receptionist: best AI with live receptionists behind it

Smith.ai's [AI Receptionist](https://smith.ai/pricing/ai-receptionist) has a Free plan with 25 real calls a month, then $3.00 a call. Pro costs $150 for 75 calls, and its 150-call level works out to $1.80 a call. It speaks English and Spanish, and the pricing page lists no fee when the AI hands a call to a live agent. The property management claims above (AppFolio, Buildium and Yardi through APIs or Zapier, Make or n8n) apply to both Smith.ai products.

### Goodcall: best for tenants who call back about the same leak

Goodcall charges per unique caller and doesn't meter minutes: $79 a month covers 100 unique callers, then 79 cents each ([pricing page](https://www.goodcall.com/pricing)). A tenant who calls three times about one leak counts once, and spam and wrong numbers don't count. It transfers calls to an escalation contact, with a backup if nobody answers. Goodcall's [Rent Manager page](https://www.goodcall.com/business-productivity-ai/rentmanager) (May 2026) describes an API connection with "real-time access to tenant information and maintenance requests." Its FAQ lists native connections only to Google Calendar, Google Sheets and HighLevel, with other systems needing an API tool or MCP server you set up, so ask how a Rent Manager setup works. Goodcall doesn't publish its languages.

### Rosie: best low-cost message taking

Rosie's $49 plan covers 250 minutes but has no transfers and books only by texted link. The $149 plan adds calendar booking and live transfers, and the $299 plan adds waterfall transfers that try several numbers ([pricing page](https://heyrosie.com/pricing)). Going over your minutes moves you up a plan. Its [property management page](https://heyrosie.com/industries/property-management) says Rosie "notifies you immediately" about after-hours emergencies and offers showing slots. It speaks English and Spanish and names no property management software.

### LobbyStack (ours): best low-cost AI for Google Calendar showings and callers in many languages

LobbyStack's Starter plan costs $30 a month for 150 minutes, then $0.20 a minute. Pro costs $100 for 500 minutes, then $0.18. Billed annually, they cost $24 and $80 a month, and no plan has a setup fee. LobbyStack counts usage in seconds, and spam and calls under 10 seconds aren't billed. Plans don't limit how many calls it answers at once, which matters when a building-wide outage sends many tenants to the phone together.

Each call opens in the business's default language: English, French, Spanish, Serbian, German, Brazilian Portuguese, Italian or Dutch. The receptionist then answers in the caller's language: 70+ languages on OpenAI GPT-Live, including Spanish and Serbian. You write your emergency list in plain language, and it transfers matching calls to one number. If the transfer can't go through, it tells the caller, offers to take a message, and your team can get a "Live call transfer failed" alert. It books showings into Google Calendar and, when the caller agrees, texts a confirmation and a 24-hour reminder to US and Canadian numbers. Every call gets a summary, transcript and recording in the dashboard, and messages trigger an email alert.

LobbyStack doesn't sync with AppFolio, Buildium, Yardi or Rent Manager, so it creates no work orders there. Signed webhooks for 6 events and a REST API can push call details into other tools if someone on your team builds it. Transfers go to one number with no briefing, so there's no on-call rotation, and owner calls can't go live to a different person than emergencies. No human agents back it up, and the AI doesn't reply to texts. Free gives you 30 voice minutes and a US or Canadian number free for 14 days, with no card. See how it sorts tenant calls on the [property management answering page](/solutions/property-management-answering-service/).

## How much do property management answering services cost?

For a 200-unit portfolio with 60 three-minute after-hours calls a month, the live services here cost $250.50 to $645, and CMS charges $300 per 28 days. The AI services cost $36 to $149, and Buildium's line costs $140 to $220 on top of your Buildium plan. At 150 calls, the live services run $576 to $1,440, CMS charges $575 per 28 days, and the AI services cost $90 to $270.

AppFolio, Rent Manager and Yardi publish no prices for their lines, so they're left out. For other industries, see [answering service prices across 15 vendors](/blog/how-much-does-an-answering-service-cost/).

### 60 calls (180 minutes) and 150 calls (450 minutes)

Each line shows the cheapest option for 60 calls, then for 150:

- **MAP Communications:** $179 + 55 x $1.30 = $250.50; $339 + 200 x $1.28 = $595. Telecom fees add $1.44, then $3.60.
- **Ambs Call Center:** $149 + 80 x $1.29 = $252.20; $330 + 200 x $1.23 = $576. Add $85 setup once.
- **Specialty Answering Service:** $269 for 220 minutes; $269 + 230 x $1.44 = $600.20
- **Continental Message Solution:** $300 per 28 days for 250 minutes; $575 per 28 days for 500 minutes. No overage rate is published, so these are the smallest plans that cover each volume.
- **PATLive:** $349 for 200 minutes; $759 for 500 minutes
- **Smith.ai Virtual Front Desk:** $300 + 30 x $11.50 = $645; $810 + 60 x $10.50 = $1,440
- **Buildium:** 200 units x $0.70 = $140 or x $1.10 = $220; 500 units x $0.70 = $350 or x $1.10 = $550. Add $300 setup once and your Buildium subscription.
- **Smith.ai AI Receptionist:** Free plan, 35 extra calls x $3.00 = $105; 150 calls x $1.80 = $270 on the 150-call Pro level
- **Goodcall:** $79; $79 + 50 x $0.79 = $118.50
- **Rosie:** $49, or $149 with transfers; $149, because 450 minutes passes the $49 plan's 250
- **LobbyStack (ours):** $30 + 30 x $0.20 = $36; $30 + 300 x $0.20 = $90

### Fees that change the bill

Ambs charges $85 setup and Buildium $300. CMS sets setup fees by account, and AppFolio, Rent Manager and Yardi quote on request. MAP adds a telecom fee per call and a holiday fee, and SAS charges $0.10 a minute to patch calls to you. Ambs patching costs 6 cents a minute. Smith.ai's live booking costs $1.50 a call, and Rosie moves you up a plan when you pass your minutes.

LobbyStack has no setup fee on any plan. Owners and admins can set a monthly overage spending cap, and once spending reaches it, new calls get a busy signal.

## How should an answering service handle leaks, no heat and lockouts?

It should follow a written list you give it, and the live services here all say they work from one. Your list decides which calls wake your on-call tech and which wait for the morning. Write it before you talk to vendors, then hand the same list to each one.

| Tenant call | Common rule | What to collect |
|---|---|---|
| Active leak, flooding or sewage backup | Emergency: reach the on-call tech now | Unit, where the water is coming from, whether it's spreading to other units |
| No heat in cold weather | Emergency below an indoor temperature you set | Unit, indoor temperature, whether the whole building is out |
| Lockout | Your policy: on-call staff, a locksmith or a fee | Unit, ID check steps, callback number |
| No hot water in one unit | Next business day, unless the whole building is out | Unit, how long it's been out |
| Dripping faucet or broken appliance | Work order for the morning | Unit, description, entry permission |
| Noise complaint | Log it for the office | Unit, time, nature of the noise |

Gas smells, fires and carbon monoxide alarms go to 911 or the gas utility first. Your protocol should say so, and a test call should confirm the service follows it. For wording, see our [phone answering script](/blog/phone-answering-script/) guide.

| Service | Urgent calls | On-call schedule | Languages |
|---|---|---|---|
| PATLive | Your triage rules; dispatch through your software or to on-call staff | Not detailed | English, Spanish (8am to 10pm ET) |
| MAP Communications | Escalates until the on-call person confirms receipt | Not described | English, Spanish |
| Specialty Answering Service | Phone, text, pager or email to on-call staff | Takes schedule changes | English, Spanish (price unclear) |
| Ambs Call Center | Floods and lockouts go to on-call staff | You edit it in the myAmbs portal | English, Spanish |
| Continental Message Solution | Immediate dispatch to on-call maintenance staff | Not described | English, Spanish |
| Smith.ai | Urgent calls to on-call maintenance staff | Not described | English, Spanish |
| Buildium | Agents decide whether a call is an emergency | Not described | Not stated |
| AppFolio | AI judges urgency, contacts preferred vendors | Preferred vendors you set | Not stated |
| Rent Manager Call Center | Agents handle emergencies and dispatching | Not described | Not stated |
| Goodcall | Transfers to an escalation contact, with a backup | Not described | Not published |
| Rosie | Notifications; transfers from $149, waterfall on $299 | Waterfall tries several numbers | English, Spanish |
| LobbyStack (ours) | Your plain-language list; transfer to one number; message and alert if it fails | One transfer number you change in settings | Opens in your choice of 8 languages, answers in 70+ languages |

## Should tenant, owner and prospect calls go to different places?

Yes, because they need different people and different speeds. A tenant with water coming through the ceiling needs the on-call tech now. An owner asking about a statement can wait for the manager in the morning. A prospect asking about pets wants a showing slot before they call the next listing.

PATLive says it routes by caller type, so owners reach you and tenants reach the maintenance line. Smith.ai logs existing tenants to their record and creates a lead for new prospects. MAP, Ambs and SAS describe tenant and prospect calls but don't describe owner handling, so ask. With LobbyStack, you write a rule for each caller type, such as taking a message from owners and booking prospects into a showing slot. Every live transfer goes to the same one number.

## Which answering services sync with AppFolio, Buildium, Yardi and Rent Manager?

The software vendors' own lines do: Buildium's connects to Buildium, Rent Manager's creates service issues in Rent Manager, and AppFolio's works inside AppFolio. Among outside services, PATLive and CMS name the most platforms, and Smith.ai names three. Treat every "integration" on a vendor page as a claim to test.

| Service | AppFolio | Buildium | Yardi | Rent Manager | What the vendor's page says |
|---|---|---|---|---|---|
| PATLive | Named | Logo | Named | Logo | Dispatches through your software; Propertyware logo too |
| Continental Message Solution | CMS article | CMS article | CMS article | Listed by Rent Manager | Tenant data pulled in; tickets created in real time |
| Smith.ai | Named | Named | Named | Not named | APIs, or Zapier, Make or n8n workflows |
| Buildium Contact Center | No | Built in | No | No | Buildium only |
| AppFolio Smart Maintenance | Built in | No | No | No | AppFolio only |
| Rent Manager Call Center | No | No | No | Built in | Service issues in Rent Manager |
| Yardi RentCafe Connect | No | No | Breeze Premier | No | 2022 page |
| Goodcall | Not named | Not named | Not named | API page | FAQ: native links to Google Calendar, Google Sheets and HighLevel |
| Ambs Call Center | Not named | Not named | Not named | Not named | LeadSimple, PropertyBase, Salesforce, Zapier |
| MAP, SAS, Rosie | Not named | Not named | Not named | Not named | Calendars; Rosie uses Zapier |
| LobbyStack (ours) | No | No | No | No | Google Calendar; signed webhooks; REST API |

Before you sign, ask the vendor to take a test call and show you the result in your software: a work order or service issue, the right unit, and the call notes. A logo on a web page doesn't tell you whether the agent can read your tenant list or only emails you a message.

## How do you choose a property management answering service?

### 1. Count after-hours calls and units

Pull last January's and last July's after-hours call counts and average length from your phone bill. Per-minute plans need the minutes, per-call plans the count, and Buildium the unit count. Price both months, because a cold snap and a heat wave send different volumes.

### 2. Write your emergency list first

Use the table above as a start. Add your lockout policy, the indoor temperature that makes no heat an emergency, and who's on call each night. A written list lets each vendor quote and test against the same rules.

### 3. Place three test calls before you sign

Call each finalist three times: a 2 a.m. leak spreading to the unit below, an owner asking about last month's statement, and a prospect asking about pets in Spanish. Check who answered, what the summary said, and whether the on-call tech got the leak. Trials: PATLive 14 days, SAS 14 days or 200 minutes, MAP free trial, Rosie 7 days, Smith.ai's AI Free plan, and LobbyStack Free, with 30 minutes and a US or Canadian number free for 14 days.

### 4. Read the billing terms

A 20-second wrong number bills as a full minute at MAP and PATLive and as 30 seconds at Ambs. SAS bills it by the second and LobbyStack counts 20 seconds. Smith.ai bills per call and excludes spam, and Goodcall doesn't count wrong numbers. Then check setup, holiday and telecom fees, and notice periods. CMS bills every 28 days, so you get 13 bills a year.

### 5. Keep your number with call forwarding

Forward your existing office number from your carrier after hours, on no answer, or for every call, so the number tenants already have stays the same. Our guide to [forwarding business calls](/blog/how-to-forward-business-calls/) covers the carrier settings. With LobbyStack, your forwarding rule decides which calls it answers.

## Questions about property management answering services

### Is there a free property management answering service?

No live service here is free, though trials come close: PATLive 14 days, SAS 14 days or 200 minutes, and MAP a free trial with no card. Smith.ai's AI Free plan covers 25 real calls a month. LobbyStack Free gives you 30 voice minutes and a US or Canadian number free for 14 days, so it can answer tenant calls for two weeks if you forward your line.

### Can I use an answering service only after hours?

Yes. Set your carrier to forward calls when the office closes, and keep answering during the day. Buildium's $0.70 plan works this way, answering missed calls during office hours and every call after hours. PATLive and Smith.ai charge the same rate at night. LobbyStack can answer every call, only overflow, or only after-hours calls.

### Can an answering service create work orders in my software?

Some can. Buildium's line connects to your Buildium account, and Rent Manager's Call Center creates service issues in Rent Manager. PATLive says agents dispatch through your software, and Rent Manager lists CMS as creating tickets in real time. LobbyStack creates no work orders; its webhooks and REST API can send call details elsewhere.

### Can an answering service answer tenants in Spanish?

Yes. MAP, Ambs, Smith.ai and Rosie list English and Spanish, and PATLive offers Spanish from 8am to 10pm ET at no extra charge. Smith.ai's live plans charge $1.00 a call for a dedicated Spanish line. LobbyStack opens each call in your choice of eight languages, then answers in the caller's language across 70+ languages, Spanish included.

### What happens if the on-call tech doesn't answer?

MAP keeps escalating until your on-call person confirms receipt. Goodcall can try a backup contact, and Rosie's $299 plan tries several numbers in turn. LobbyStack transfers to one number; if the transfer can't go through, it tells the caller, offers to take a message and can send a "Live call transfer failed" alert. Ask other vendors during the trial.

## How we checked these services

Updated October 10, 2026. We read each price, billing unit and setup fee on the vendor's own pricing page, help center, terms or property management page on October 9 or 10, 2026. We mark quote-only services as such, compare different billing units only at the portfolio sizes above, and report software integrations in the vendor's own words. LobbyStack's figures come from its [pricing page](/pricing/). Our next price check is January 2027.
